Challenge
Following the merger, City St George’s inherited multiple versions of policies and academic regulations stored across different intranet and SharePoint systems. This made it difficult to maintain consistency, manage updates or provide clear access for staff and students. Manual approval and publication processes were slow and ensuring documents were kept current in line with new regulatory changes was resource-intensive.
Solution
SOPHIA provides a cloud-based platform for managing, approving and sharing all policies, regulations and procedures. The system supports: • A centralised, searchable repository accessible to staff and students • Public sharing of selected documents via the university website • Automated alerts for reviews, approvals and version control • SOPHIA AI tools to help update policies in line with new regulations, such as Freedom of Speech guidance
Results
City St George’s now has a consistent, efficient and transparent governance framework. Policy management and publication are faster and easier, reducing administrative burden and improving compliance. Staff and students have equal access to up-to-date information, while the university can respond quickly to new regulatory requirements.
