Challenge

Before SOPHIA, both Trusts managed their EPR-related SOPs in large, combined Word files containing departmental appendices, detailed instructions and role-specific guidance. These documents often exceeded 50 pages, making them hard to navigate and update. Process maps were created separately in Visio, while the SOPs themselves were hosted on SharePoint — where load times could exceed two minutes when accessed by multiple users. Manual version control caused confusion and duplication across the two organisations, slowing progress and making collaboration difficult during the joint EPR rollout.

Solution

Using SOPHIA’s AI assistant, all existing SOPs were converted into clear, interactive step-by-step instructions tailored by role and task. Each process was improved with embedded screenshots, attachments and detailed on-screen instructions, ensuring staff could follow guidance easily and consistently. Quizzes were added at the end of key workflows to reinforce learning and support go-live readiness. SOPHIA provided a single, accessible platform where both Trusts could create, edit and share content collaboratively, reducing duplication and enabling real-time version control.

Results

The project saved significant time in writing and refining SOPs, designing new pathways and preparing for EPR go-live. The interactive, task-based format also helped identify process gaps and errors early — before implementation — while making training far more engaging and effective than static documents or traditional learning platforms.
