Challenge
With thousands of staff across more than 200 sites, EPUT struggled to manage and share policies and SOPs effectively. Documents were stored across multiple intranet and local SharePoint locations, making it hard to ensure staff were always using the latest version. Manual tracking of updates was slow and prone to errors, creating version discrepancies and increasing governance risk. This lack of oversight made it difficult to keep information current and train new or temporary staff efficiently. The Trust had also come under regulatory scrutiny following safety incidents, some of which could have been avoided if staff had consistently followed the defined policies and procedures.
Solution
SOPHIA provided a central, cloud-based platform for authoring, storing and maintaining all trust-wide policies and SOPs, giving every staff member instant access to the correct version from any device. EPUT also focused on safety by identifying their top 10 high-priority SOP areas and converting them into interactive flowcharts within SOPHIA. These step-by-step, clickable guides are now used for onboarding, bank staff training and as quick reference tools in day-to-day practice — improving consistency and reducing risk.
Results
EPUT has achieved stronger oversight and improved safety across all service areas. Staff can now locate the right policy in seconds, and governance leads have a clear view of review cycles and compliance. The introduction of interactive SOPs has enhanced learning and confidence among clinical and non-clinical teams, ensuring consistent adherence to best practice.
